Policy on academic vacation tracking

Policy

The College of Biological Sciences (CBS) is committed to complying with the University of Minnesota Board of Regents policy on Academic Vacations and providing consistent practices in tracking and recording vacation time, as required by the Regent’s policy.

Guidelines

The University of Minnesota Board of Regents policy on vacations (as amended by University administrative procedures) provides vacation benefits for academic employees with 12-month (A-term) appointments, working 67% time or greater. Vacation time is accrued for a total of eleven months at the rate of one day per half month (pro-rated for appointments between 67% and 100% time).

An important aspect of this policy is the requirement to maintain vacation records. As laid out in the policy, employees are responsible for submitting a written request and obtaining approval for vacation time off. Administration is responsible for maintaining vacation accruals and overall vacation records. Consequently, the following guidelines have been developed and are effective July 1, 2005:

  • Requests for time off are made in advance and in writing (by email) to your supervisor
  • Vacation tracking forms are emailed monthly to academic employees by department administrators or HR assistants
  • Employees are responsible for the completion of the tracking form by documenting vacation time taken in the past month, signing the form, and returning it to the administrator/HR Assistant
  • Department administrators maintain the official department vacation records
  • Vacation time off is recorded in minimum 1/2 day increments
  • Vacation time is accrued at one day per full half-month for 11 months beginning with the first full 1/2 month following date of hire (no accrual occurs in the 12th month)
